Website Inquiries Needed Better Follow-Up
The business was having difficulty retaining and converting website visitors after they submitted booking inquiries. Inquiry details, customer communications, and follow-up activities needed to move reliably between the website entry point, the internal team, and Zoho CRM. The existing workflow also required improvements to message presentation, conversation storage, duplicate inquiry handling, and control over automated replies. Without a more structured process, the team had less visibility into each inquiry and its associated email and WhatsApp conversations.
Connected Booking Inquiry and Response Workflow
Systemapic updated multiple Zapier automations connecting website inquiry data, a spreadsheet, Claude, Gmail, WhatsApp, and Zoho CRM. New submissions are processed and used to generate formatted customer and internal communications. The workflow sends the customer an email and WhatsApp message while notifying the internal team. Email and WhatsApp replies are processed through dedicated workflows, and customer messages with their responses are recorded as timestamped notes in Zoho CRM. An AIStopDoNotReply tag allows the team to stop automated customer replies and take over manually. Duplicate prevention logic checks Zoho CRM for an existing email address before updating an inquiry or creating a new one. Email branding, signatures, prompts, formatting, time zones, and message presentation were also improved.
